Aksdal Senteret frees up at least two hours every day with a new operations system
When AI Pioneer developed a new operations system for Aksdal Senteret, a shopping centre in Tysvær, Norway, the goal was to make day-to-day operations simpler and less time-consuming. Today, centre manager Elisabeth Førland estimates that the solution frees up at least two hours per working day. At the same time, the stores have simpler reporting, and administrative routines, documentation and operational data are now gathered in one platform.
Key figures
The figures come from a review with the centre manager in October 2026. The time saving is the centre manager’s own estimate.

From manual routines to digital operations
Running a shopping centre involves many administrative tasks that need regular follow-up. Turnover has to be reported, fire safety routines documented, maintenance followed up and information passed between the centre and the stores.
At Aksdal Senteret, several of these tasks used to require a lot of manual work. Fire safety routines were documented with pen and paper, and turnover reporting from the stores required follow-up and reminders.
Reporting was time-consuming for the stores too. Some administrative tasks had to be handled on days off, outside the normal working day.
One operations system for the whole centre
AI Pioneer AS developed a custom operations system for Aksdal Senteret, which has stores, restaurants and cafés, health services and a bank. It replaces spreadsheets, email and paper binders with one shared platform, built as a web app that works well on mobile. The centre manager, store managers, caretaker and owner each have their own login and only see what concerns them.
-
Turnover reporting
The stores report turnover and customer numbers from their phones. Planned closing days can be marked, so the reminder lists stay accurate. The system also handles tenants having different VAT arrangements.
-
Comparisons and reports
Turnover is compared day by day, week by week and year to date against the same period last year. The monthly report ranks the stores and can be exported to Excel. Tenants without turnover-based rent are kept out of the statistics.
-
Fire safety and self-inspection
Store managers carry out quarterly self-inspections directly on their phones. Deviations are registered with a comment and photo, and the centre manager can see which stores are missing an inspection for the current quarter. The documentation is gathered in the system instead of in binders.
-
Maintenance and tasks
Faults and tasks are reported by the centre manager and the stores, linked to buildings and zones, and assigned to the caretaker with a priority and deadline. Comments and status updates let everyone see what is happening.
-
Key management
Physical keys and access cards are registered in the system, with status and a link to the tenant and zone.
-
Access for the owner
The owner has a separate, read-only login with access to turnover per week, month and year, as well as the results reports, without being able to change operational data.
At least two hours freed up every working day
The biggest gain is the time freed up when administration becomes simpler. Centre manager Elisabeth Førland estimates that the system saves her at least two hours per working day.
Turnover reporting is where she notices the difference most. Tasks that used to require collecting, checking and following up information are now handled far more efficiently.
The time freed up leaves room to develop the centre, follow up the stores and spend more time on work that creates value.
The stores also have a simpler working day. Reporting that could previously be left until days off can now normally be done towards the end of the working day.
The centre manager’s experience
“With the new operations system, I have gained a completely different level of control and overview of the centre’s operations. Tasks that used to take a lot of time are now handled efficiently and automatically. It frees up at least two hours every day that I would rather spend developing the centre and creating value, instead of sitting with administrative work.”
Anbefaler Ai Pioneer!
Better control and better decisions
The efficiency gains are about more than time saved. When turnover figures and other operational information are gathered digitally, it becomes easier to understand how the business is developing.
With the data in one place, it has become easier to highlight business initiatives and follow their effect. That makes it easier to prioritise, find areas for improvement and make assessments based on figures.
At the same time, fire safety follow-up, maintenance and documentation are in one place. Reports that previously had to be put together manually are now generated with traceability in a single action, and the necessary documentation is easier to find.
Technology that gives time back
The experience from Aksdal Senteret shows how custom software can improve work processes that are already well established. When reporting, documentation and follow-up are gathered in one solution, the centre’s operations become both more efficient and easier to keep track of.
For day-to-day operations, it means more time to develop the business. For the stores, it means simpler routines. And for the centre as a whole, it provides a better basis for following up operations, results and decisions.
